Struggling to keep up-to-date with payroll over the holidays?

For 2017, the two bank holidays of Christmas Day and Boxing Day fall on a Monday and Tuesday; which means that most temporary workers will still be required to work up until Friday 22nd December and, as a result, will expect to receive their pay between Christmas and New Year.

For recruitment agencies, that leaves one day to collate all employee time-sheets and for them to be sent over to payroll for processing prior to the payment being made to staff, Umbrellas and Ltd companies. With less payroll staff than usual, this can often be a challenging must before the Christmas festivities.

Failure to pay a worker when a timesheet has been submitted is considered as the ultimate recruitment sin; and it could cost you dearly when you return in 2018, refreshed and ready for the year ahead only to find that your client has had multiple emails from your worker regarding their lack of pay.

Follow our four top-tips to ensure your payroll is kept up to date over the holidays:

1. Contact both candidates and clients stipulating the holiday payment deadlines, this is essential in protecting your business from claims of poor service, and management.

2. Timesheet submission deadlines should be emailed out repeatedly to candidates throughout the month of December and it's advisable that all clients are made aware of when they need to have timesheets signed off.

3. Most importantly, if you know your client is going to be off over the festive period, make sure you know the contact details of who will be authorising timesheets in your client’s absence.

4. A top tip from us at Quba is to call all your temporary workers in the weeks prior to Christmas as part of aftercare, as they can then not hide behind the excuse of having not received an email.

If you are still unsure of whether the above is possible, why not contact Quba Solutions; who can support your recruitment business through our online dashboard and e-timesheet process that is accessible by our clients 24/7, meaning that client can authorise timesheets any time and anywhere.

More importantly, our dashboard allows multiple approvers, should your client not wish to access their emails over the Christmas holiday season. The implementation of a  traffic-light system lets you know when your worker has submitted their hours to the client and then when the client has consequently authorised them. It can even identify and notify you when a timesheet has been rejected by the client, allowing the worker to re-submit with the recommended changes necessary.

If you are looking to run your business in front of a roaring log fire with a glass of mulled wine in one hand, why not contact Quba Solutions today who will be able to assist you over the Christmas holidays, allowing you to enjoy the seasonal festivities!
